AUTOBALANCE — PRIVACY NOTICE (PRIVATE BETA)

Version: Draft 0.1 — 29 October 2026 — SUBJECT TO LEGAL REVIEW

Applies to: the autobalancegrading.com beta website, the beta registration, and the AutoBalance V1.1 Beta software · Provider: Lumara Labs, LLC, a Delaware limited liability company ("we", "us")

1. Summary

  • AutoBalance's grading engine works on your Mac and does not send your footage, pictures, projects or file paths anywhere.
  • If you register for the beta, we keep the details you give us so we can run the beta and contact you.
  • The software keeps some records on your Mac — one by default, one only if you agree.
  • A short numerical test report is sent to us only if you agree, and you can switch it off at any time.
  • Reports are linked to a random tester code that we can connect to you, so they are not anonymous.

2. When you register for the beta

What we collect: your full name, email address, country, role or studio, and — if you choose to tell us — what you would test on (for example your Resolve version, colour management and cameras). We also record your acceptance of the beta agreement: its version, a fingerprint of its exact text, the boxes you ticked, the date and time our server received your request, and an acceptance record ID.

Why: to decide on and manage your participation, to send you your personal copy and messages about the beta, and to keep a record that you accepted the beta agreement.

Where: in a Google Sheet held in our Google account, written by a Google Apps Script service we run. Emails to you (a copy of the agreement you accepted, the approval message) are sent from our Gmail account.

Your personal copy: when we approve you, we make a copy of AutoBalance for you. It carries your name and a private code, and we keep a list of which code we gave to whom.

3. On your Mac — what the software keeps locally

All of this stays on your Mac unless you send it yourself (section 5) or you agree to the test report (section 4).

3.1 The grading engine. It reads your clips and writes to your Resolve project. While it works it keeps decoded frames of your clips in a cache (in the folder you chose in the panel); the cache is emptied after every run, and the still pictures a run read from Resolve are removed when it ends. The LUT files it writes stay in Resolve's LUT folder, because your grades use them.

3.2 Activity record — on by default. What AutoBalance did: runs, how many shots were new, kept, restored, checked or left as they were, timings, outcomes and error codes; the AutoBalance, macOS and Resolve versions, the Mac model, chip, number of cores and memory (no serial numbers). Project, timeline, colour group and clip names are not stored as such — they become anonymous references (for example S-1a2b3c4d) made with a secret kept on your Mac. It is kept for at most 180 days and about 20 MB, then the oldest entries are removed. You can switch it off in the panel (Privacy & settings › "Record what AutoBalance does").

3.3 Fix recorder — only if you agree. Asked once, before your first Balance. When you correct shots by hand after AutoBalance has run, it records numbers only: which shots you changed, how many nodes you added and of which tool types, and brightness and colour measurements comparing AutoBalance's picture with the picture as you left it (never the pictures themselves). It reads Resolve's picture only in the scene you are working on. The record is encrypted on your Mac. It has no automatic time limit. You can switch it off in Privacy & settings.

3.4 Panel log. A technical log of the panel's work (~/Library/Logs/AutoBalance/panel.log). It can contain project and clip names. It is never sent automatically; please look at it before you share it with us.

3.5 A tag in each LUT file. Every LUT file a personal beta copy writes ends with one comment line: a short tag made from that file's own numbers and a secret built into your copy. The tag does not contain your name, your email or your tester code, it is different in every file, and without your copy's secret the tags cannot be linked to each other or to you. We keep a list of each copy's secret, so if an AutoBalance LUT file is found outside the beta we can tell which copy wrote it. The line does not change the grade. It shows where a file came from; it does not stop copying, and anyone can remove it. If you pass a project and its LUT files to someone else, the tags go with them.

Who can read these files: they are stored in your user folder (~/Library/Application Support/AutoBalance) with permissions that only your macOS user account can read.

4. The optional tester report

Consent: a tester copy asks you once, the first time the panel opens. "Don't send" is always a choice, and the beta works fully without it. You can change your answer at any time in Privacy & settings › "Send my test results". Accepting the beta agreement does not switch it on.

What it holds: one row of numbers — the number of runs, shots balanced, kept, restored, checked and left as they were, timings, the number of runs that had a problem; if the fix recorder is on, how many shots you corrected by hand and the typical size of those corrections (two numbers); your copy's random tester code; the AutoBalance version; the date and time. It never holds footage, frames or pictures, project, timeline or clip names, comments, file paths, or your name or email.

When: after each AutoBalance run and when the panel opens. If a send fails it is tried again later; it never interrupts your work. Your Mac keeps a copy of the last row sent, so the same row is not sent twice.

Where: to a Google Apps Script service we run, which adds the row to our Google Sheet together with the time it arrived. The service accepts only the columns listed above and drops anything else.

Not anonymous: your tester code is random, but we know which code we gave you. Like any internet request, the report passes through Google's servers, which see ordinary connection information such as your IP address; our Sheet does not store it.

5. Feedback you send yourself

"Export feedback" in the panel makes a ZIP file (report.json, summary.txt) from the activity record. It shows you its content first, and it contains the name your copy is licensed to. Nothing is sent: you decide whether and how to send it to us. Anything you email us is kept with your registration details.

6. The website

The beta website is hosted by Cloudflare (Cloudflare Pages), which processes ordinary connection information (such as IP address and browser details) to deliver and protect the site. The site's fonts are served from the site itself; it loads nothing from other services. The site sets no cookies and uses no advertising, analytics or tracking.

7. How we use the information

To run the private beta: to choose and contact testers, send personal copies, keep the record of acceptance, understand how AutoBalance behaves on different footage and workflows, find problems and improve AutoBalance. We do not sell personal information, and we do not use it for advertising. [Lawful bases — e.g. contract, legitimate interests, consent for the optional report and fix recorder — for counsel.]

8. Who receives it

  • Lumara Labs, LLC — the people running the beta.
  • Google (Google Sheets, Google Apps Script, Gmail) — stores the registration list and the test reports, sends our emails and receives the emails sent to our addresses, on our behalf. [Google's data processing terms for our account — to confirm.]
  • Cloudflare — hosts the website, and forwards emails sent to our @autobalancegrading.com addresses to our Gmail account.
  • No one else, unless the law requires it.

9. International transfers

Google and Cloudflare may process information in the United States and other countries. [Transfer safeguards for testers in the EU / UK and other regions — for counsel.]

10. How long we keep it

  • Local records on your Mac: the activity record for at most 180 days; the fix record until you delete it; everything until you remove it or uninstall AutoBalance (the uninstaller removes AutoBalance's working files, records and logs; your projects, grades and LUT files stay).
  • Requests we do not approve: deleted 6 months after our decision.
  • Approved testers' registration details (name, email, country, role or studio): for the beta and 12 months after it ends.
  • The record that you accepted the beta agreement, and the record of the personal copy we made for you (its code and the secret behind its LUT tags): 5 years after your participation ends — to show the agreement was accepted and to trace a copy found outside the beta. [5 years — subject to counsel confirming the period is justified and lawful.]
  • Test reports: for the beta and 12 months after it ends; after that we delete them, or keep only totals that no longer carry a tester code.
  • Emails and feedback files you send us: for the beta and 12 months after it ends.
  • Privacy requests and our replies: 2 years.

We check these records and delete what has passed its period at least every three months. This is done by hand; nothing is deleted automatically.

11. Your choices and how to delete

  • Switch off the activity record, the fix recorder or the test report at any time in the panel's Privacy & settings.
  • Delete local records: "Delete all feedback data" in Privacy & settings removes, on your Mac, the activity record, the fix records and the copy of the last test report sent. It keeps only your yes / no answers to the questions, so you are not asked again. It does not delete reports already sent to us (see below), and it does not touch your projects, grades or LUT files. The panel log is removed by the uninstaller (or by deleting ~/Library/Logs/AutoBalance). The uninstaller removes all of AutoBalance's working files from your Mac.
  • Delete what we hold: email privacy@autobalancegrading.com to ask for a copy of, a correction to, or the deletion of your registration details and your test reports. Reports are found by your tester code. We aim to reply within one calendar month. Where the law allows, we may extend this (for example for complex requests), and we will tell you why. We may keep some records where the law allows or requires it — for example the record that you accepted the beta agreement and the record of your personal copy, for the period in section 10. [Region-specific deadlines and exceptions — for counsel.]

12. Your rights

Depending on where you live, you may have the right to access the personal information we hold about you, to have it corrected or deleted, to object to or restrict its use, to receive it in a portable form, to withdraw consent at any time (for the fix recorder and the test report: in the panel), and to complain to your data protection authority. [Region-specific wording — EU / UK GDPR, US state laws, and other testers' countries — for counsel.]

13. Security

The test report is sent over HTTPS to a service that accepts only reports carrying our beta's token and only the listed columns. Local records are readable only by your macOS user account; the fix record is encrypted. No system is perfectly secure; please tell us if you think something has gone wrong.

14. Age

The beta is for people aged 18 or over.

15. Changes

We will publish any change as a new version of this notice with its date. Version and date: see the top.
